Key responsibilities
- Act as a key contact for Feeding Hong Kong’s charity partners and provide day-to-day support for the efficient redistribution of surplus food across our network;
- Coordinate between the operations team and charity partners to plan and fulfil charity orders and ensure a smooth logistics process;
- Provide admin support to the Charities Team including updating database records, conducting research, preparing reports or other promotional materials;
- Ensure due diligence procedures are in place, and charity partners comply with the food safety standards and other requirements set out by Feeding Hong Kong;
- Support the annual survey and attend regular visits to charities;
- Support the planning and execution of programmes and campaigns for the Feeding Hong Kong charity network.

Key responsibilities
Programme and project
- Plan, organise and execute food Programme or projects, including ensure smooth operations, food safety, update system data, volunteer training, communications and oversee related supplies and equipment;
- Support the Operations & Projects Director in the development of FHK food programme and projects to optimise food sharing across the 18 districts;
- Facilitate and support food programmes and projects;
- Coordinate efforts to draft, update and maintain internal and external materials for project team (e.g., reports, promotional pdfs, PowerPoint slides, posters, etc.).
- Engage in the grant process and coordinate with fundraising team to ensure all funded projects receive the support needed to fully execute their proposed plans;
- Support and maintain data collection, analyse data and share reports internally and externally on a regular basis to ensure that team decisions are data-based;
- Support the Operations & Projects Director to conduct periodic needs and outcome assessment to evaluate the effectiveness and relevance of key programmes;
- Support the Operations & Projects Director with streamlining operations and processes and make adjustments and enhancements in current food programme processes to improve effectiveness;
- Represent FHK at relevant internal and external events; appropriately and collaboratively engage industry to support our work;
- Respond to requests for information on FHK Food Programmes.

Key responsibilities
Volunteers
- Coordinate FHK’s individual and corporate volunteer programmes;
- Build and enhance links with sources of volunteers;
- Assist in managing and updating FHK’s volunteer programmes recruitment contents on different external platforms : Social Career, HandsOn, Mailchimp….etc
- Ensure effective organisation, administration, monitoring, evaluation and reporting for a successful programme;
- Ensure appropriate volunteer capacity and availability to meet all operational needs;
- Ensure a positive and rewarding experience for volunteers so that they become ambassadors for FHK;
- Ensure that policies and procedures are followed, in line with the volunteer programme manual;
- Liaise closely with the Volunteers & Education Manager, to develop the work, promote and publicise volunteering;
- Support colleagues in the identification of funding opportunities and the preparation of funding bids to secure funding to support and further develop the volunteer programme;

Education
- Coordinate and deliver FHK’s educational initiatives, with corporate partners and educational institutions;
- Schedule and lead workshops, presentations and tours with audiences of all ages;

Operations Assistant
To assist in daily warehouse operations and assist with charity deliveries.

- Responsible for sorting, storing and recording the surplus food that gets donated to Feeding Hong Kong (FHK);
- Responsible for assembling the deliveries of food for charities and community groups;
- To be the face of FHK, being a regular point of contact with our donors, as well as our growing charity base collecting food from warehouse;
- Act as a host for volunteers who may join as warehouse assistants;
- To keep the warehouse and packing areas clean and tidy;
- Consistently follow the health & safety, and food safety standards protocols to ensure the safe collection and delivery of surplus;
- If required to drive the FHK vehicle- collect surplus food from the donors as well as deliver surplus to the charity partners.
Key responsibilities
Redistribution operations and processes
- Wear neat uniform, ready to meet our donors and charities when collecting or delivering food;
- Understand the schedule and stock rotation that has been assigned on the day;
- Sort and unpack deliveries of surplus food (ambient, chilled and/or frozen) safely and efficiently;
- Move stock by manual operation of pallet trucks, cages and wheel sets;
- Pick and pack charity deliveries correctly;
- Maintain excellent relations and communications with volunteers, staff, donors and charities;
- Provide great customer service to those charities coming to collect deliveries;
- Assisting with stocktaking;
- Ensure that surplus food donations and orders are processed appropriately and that all information is input into Salesforce;
- Perform general housekeeping duties in the warehouse and packing area;
- Support with other duties as required to ensure no good food goes to waste.
Health & Safety
- Ensure compliance with all FHK policies and procedures and industry standards as required by food donors and regulators.
Driving the FHK vehicle (if applicable)
- Take good care of the food being collected or delivered;
- Drive safely, responsibly, promptly and to schedule;
- Be courteous to all road users;
- Report any incidents that may affect the vans’ roadworthiness;
- Document and log kilometres spent driving and work rest periods, and retain fuel and toll receipts.

Working day
